Users, Groups and Roles - User tab

Navigator > Setup > Company > Users > Users, Groups and Roles > User tab

To edit a User, Group or Role, select from the look-up. The Code field cannot be changed.

User Groups are used to set permissions for groups of users. When a User belongs to a Group, they assume the permissions of the group. You cannot set individual permissions for a User in a Group. Users can only belong to one group.

Users may have several Roles. Roles do not affect the permissions of a User. A User can be in a Group, and can also have one or more Roles. Roles relate to Script Shortcuts and reporting only.

Select User

Select the User or Group from the lookup, to view or edit an existing User or Group. The user Name and Type will be displayed.

Code

A unique code of up to 8 characters, for a person, User Group or Role. For example, for an AR Clerk role, you could use the code ARCLERK.

Name

The full name of the User, Group or Role.

Type

Select from:

  • User - an individual user.
  • Group - a group of Users.
  • Role - a position, such as Sales or Management.

Password

Available for Users only and dependent on Permissions.

A password known only to the User (cannot be viewed). Set the Password Minimum Length in Company Settings. If the Password Minimum Length is more than 0, all Users require a password or Change Password must be selected.

To reset a User Password clear the Password field and select Change Password to require the User to set a new Password before they can login.

If Allow System Password Sync in Company Settings is selected and the User Code matches a System User Code with a record for this Company, the Password must be maintained in the SYS Users form.

Confirm Password

Available for Users only. This field and the Password field must contain the same value. This is available dependent on Permissions.

Change Password

Available for Users only. Selected, the User must change their password at the next login.

Phone No

Available for Users only. The User's Phone Number.

Mobile No

Available for Users only. The User's Mobile Phone Number.

Email Address

Available for Users only. The User's Email Address.

Details

Details for the User, Group or Role.

Comment

A 30 character field that can be used as a reference, and filtered on for reports or Lookups.

These fields can be used to add information to be stored with users, groups and roles. To change the field names, go to Company Settings - Display Labels tab and change the display labels.

Inactive

Selected, User, Group or Role is set as inactive and will be unable to login or have members assigned.

Note: The logged in User cannot be set to Inactive. Groups or Roles with Active Members cannot be set to Inactive.

Toolbar

Expand Toolbar (Alt+F9)

Expand the toolbar to give access to all toolbar options. Press Esc to close the expanded toolbar.

Edit (F11)

Enter Edit mode.

Insert (F4)

Select to add a new User, Group or Role.

If SSO is on and you have necessary permissions, on Save you will be prompted to add the user as a System User, or if the System User already exists, to add the company to the System User's company list.

Duplicate (Shift+F4)

Select to duplicate the selected User, Group or Role as a new User, Group or Role.

Delete (F3)

Delete the selected User, Group or Role.

Note: The ACCREDO user and any logged in Users cannot be deleted. Groups assigned to Users (including any inactive Users) cannot be deleted. Roles assigned to Active Users can not be deleted.

Print (Ctrl+P)

Print the User Permissions report for the User or Group. See Report Selections Form. Not available for Roles.

Import (Ctrl+I)

Import permissions, preferences and settings previously exported for a User or Group from a .csv or .txt file. This can help you to save time adding permissions for a User or Group with similar permissions in another Company. Available in Edit mode for Users and Groups.

Export (Ctrl+E)

Export User or Group permissions, preferences, and settings not stored in the COUSER table as a .csv or .txt file. Available for Users and Groups, not in Edit mode.

CompanyContactRemove

Add / Remove as Company Contact (Alt+P)

Add or remove the user as a Company Contact.

AddUserToSystem

Add User to System

If SSO is enabled and the logged in user has system permissions this will add the User as a System User and/or add the Company to the System User's Companies list.

 

Customise Toolbar

ToolbarExpand Customise Toolbar or right-click in the toolbar below the buttons to access the Customise Toolbar Menu.

Show Users (Alt+O)

Available for Groups and Roles only. Displays a list of Users in the selected Group or Role.

Save (F9)

Save all changes.

If you have set a User, Group or Role as Inactive, you will be asked "Have you changed Target User for any Reminders / Memos / Alarms?". If you click No, Change Memo Target User will open.

Note: New permissions will not be applied to open forms. When forms are closed and reopened the new permissions will be applied.

Cancel (Esc)

Close the window without saving changes.
