CO Contacts

Navigator > Maintain > Company > Contacts

Edit existing, insert new, duplicate or delete unused Company Contacts.

Company Contacts can include contacts that you want to record but don’t relate to a Customer or Creditor record.

Additionally any Customer Contact, Creditor Contact, User, AR Sales Person, IC Store Person or JC Job Person can be added as a Company Contact using the Add as Company Contact option on the relevant maintenance form. These contacts are synchronised with the source contact, removing the Company Contact record does not affect the source contact.

Use Company Contacts for:

The Links tab provides access to links associated with a contact. Memos and Alarms can be entered or edited for contacts.

Access permissions can be set to limit access to Contacts.

Select Contact

Select the contact name. Search for a contact using the Contact Lookup.

Toolbar

ToolbarExpand

Expand Toolbar (Alt+F9)

Expand the toolbar to give access to all toolbar options. Press Esc to close the expanded toolbar.

Edit (F11)

Add or edit details for Company Contacts not linked to a source record.

Note: To edit a Contact linked to a source record use Open Details to open and edit the source record.

Insert (F4)

Insert a new Contact.

Duplicate (Shift+F4)

Duplicate the Contact.

Delete (F3)

Delete the Contact.

Note: Deleting a Contact linked to a source record does not delete the source record.

Open Details (F12)

For Contacts linked to a source record opens the source contact.

RecordLinks

Links (Alt+F6)

Opens Links On... for the record, with a list of links for the record. The button changes to indicate if links are present.

RecordMemo

Memos

Memos can be entered or edited for contacts. The button changes to indicate if memos are present. Opens Memos On... with a list of Memos for the Contact.

 

Customise Toolbar

ToolbarExpand Customise Toolbar or right-click in the toolbar below the buttons to access the Customise Toolbar Menu.

Contact Tab

Full Name

The contact's full name. The Full Name is made up of Title, First name, Middle name, Last name and Suffix fields.

To edit these individually, in Edit mode, click CodeEdit Open Editor (F2)in the Full Name field to open the Full Name editor.

Role

Job title of the contact.

Phone Nos

The contact telephone numbers. If Accredo is setup to interface with the telephone system, click  to dial.

Note: You can change the labels of the phone no fields in Company Settings - Display Labels.

Email Address

The contact email address. Click to create a Mail Message (Ctrl+M), or add the Email Address to a Batch Email (Ctrl+B).

Company Contact email addresses can be selected in the Accredo Mail Editor.

Comment

A 60 character field for reference.

Category 1

Category 2

Maintain from Navigator > Maintain > Company > Contact Categories, or click on the Lookup.

Custom 1

A 30 character field for reference. Custom 1 label can be replaced in CO Settings.

Custom 2

A 30 character field for reference. Custom 2 label can be replaced in CO Settings.

Table Name
Code
ID

For contacts linked to a source record the source table, account code and ID. For contacts entered only as Company Contacts table name is COCONTCT.

Inactive

When Selected, the contact is inactive.

Links Tab

Links may be entered or edited for the contact.

Memos Tab

Memos can be entered or edited for the contact.
