Memo

Navigator > Tasks > [Module] > Enter Memos

Memo can also be accessed by opening Memos On... or a Memos tab for a record, and opening or inserting a memo.

Account

The file the Memo is associated with.

ID

System allocated number for filtering or sorting at a later time.

Type

Memo, must be looked up Memos, no notifications occur.

Alarm, opens when the Record code is selected.

Reminder, prompts at the specified time, anywhere in Accredo.

[Record] Code

The record code that the Memo is associated with.

Subject

The subject of the memo.

Date

The date and time the event occurs. Defaults to the current time plus the User Preferences Reminder Interval, rounded to the next half hour.

Reminder

For Reminders only, the amount of time to be reminded beforehand, for example, 15 minutes. Defaults from the User Preferences Reminder Interval.

Action On

The date and time the Reminder or Alarm will activate. For Reminders, defaults to the Date minus the Reminder.

Target User Code

For Reminders the User the Alarm or Reminder will be activated for, required.

For Alarms the User or User Group the Alarm will be activated for, if left blank, Alarm will be activated for all users.

Reference

The memo reference. For memos inserted from a document or transaction form defaults to the Document No or Reference.

Category 1 & 2

Memo categories are added in CO Memo Categories.

Display labels can be customised from Company Settings - Display Labels tab.

Custom 1 & 2

Display labels can be customised from Company Settings - Display Labels tab.

Inactive

Selected, the memo is set to Inactive and no notifications will occur.

Memo Text

Enter the memo text.

Recurrence

Reminders may be set to recur after dismissal. Memo and Reminder lists have a calculated Has Recurrence field which may be customised into the grid.

Recur Every

Recurrence interval can be specified in days, weeks or months. For example, for a reminder,

  • every 14 days, in the first field put 14, in the second field put Days.
  • every 6 weeks, in the first field put 6, in the second field put Weeks.
  • every month, in the first field put 1, in the second field put Month.

Day Of Month

Enter the day of the month of the Recur Every field is Month.
Enter 31 to recur on the last day of the month regardless of the number of days in the month.

Weekday Offset

Unchanged, (default) the recurrence date is not modified if it falls on a weekend.

Previous, if the recurrence date falls on a weekend it will fall back to the previous Friday.

Next, if the recurrence date falls on a weekend it will advance to the following Monday.

This does not affect the subsequent recurrence.

End Date

Enter the date for the reminder. If it is to be open ended (that is, with no end date), leave this field blank.

Reminder

The amount of time to be reminded beforehand for each recurrence.

Form Toolbar

ToolbarExpand

Expand Toolbar (Alt+F9)

Expand the toolbar to give access to all toolbar options. Press Esc to close the expanded toolbar.

Edit (F11)

Edit the Memo, Alarm or Reminder details.

Insert (F4)

Insert a new Memo, Alarm or Reminder.

Duplicate (Shift+F4)

Duplicate the current Memo, Alarm or Reminder.

Delete (F3)

Delete the Memo, Alarm or Reminder.

Open Source (F12)

Opens the record that the memo, alarm or reminder is associated with.

Previous (Ctrl+Up)

Next (Ctrl+Down)

Open the next or previous Memo, Alarm or Reminder.

SpellCheck

Spell Check (F7)

Activates Accredo spell check. Spelling is also checked as you type, right-click words for suggested corrections. Spell check options and dictionaries are set in Company Settings - Spellcheck tab.

Print Report (Ctrl+P)

Print the Memo, Alarm or Reminder report.

ActionPrintDocument

Print Memo (Alt+P)

Print the Memo, Alarm or Reminder document. The default memo document is selected in Document Defaults. A memo designer is available under Setup > [Module] > Memo Designer.

 

Customise Toolbar

ToolbarExpand Customise Toolbar or right-click in the toolbar below the buttons to access the Customise Toolbar Menu.

Buttons

ActionList

Memo List (Alt+L)

Opens Memo List to access a list of memos.

Save (F9)

Saves the memo to the module record.

Cancel (Esc)

Discards changes.
