Period

The Period for the stocktake. Select from available periods.

Date

Date for the stocktake. The Date must be in the Period selected.

Details

Details for the stocktake.

Reference

Reference for the stocktake.

ID

Stocktake document ID.

Location

Location for the stocktake. (Accredo Saturn Only)

Post Status

The status of the Stocktake. You can change between Counted and Uncounted. If the Post Status is set to Counted, all lines must also be set to Counted. If the Stocktake has been posted, this will show Posted, and cannot be edited.

Count Type

The type of Count:

• Single - One count will be done per Product and Location.
• Additive - Several counts can be done for each Product and Location.
• Detailed - For tracked Products Serial No and/or Lot No detail must be included in the counts. For Bin tracked Locations Bin code must be included in the counts. Tracking detail for the stocktake is generated when the stocktake is marked Counted.
• Basic - A simple stocktake with no Count options available.

Note: Additive and Detailed include support for UOM if enabled.

Toolbar

Expand Toolbar (Alt+F9)

Expand the toolbar to give access to all toolbar options. Press Esc to close the expanded toolbar.

Edit (F11)

Enter edit mode.

Delete (F3)

Sets the Status of the Stocktake to Deleted. Only available for stocktakes with Status of Unposted. You will need to confirm to delete, as this cannot be undone.

Print (Ctrl+P)

Print the IC Stocktake Report. By default, only lists products with variances. You can select Include Nil Variances to include all products.

Links (Alt+F6)

Opens Links On... for the record, with a list of links for the record. The button changes to indicate if links are present.

Memos (F6)

Memos and alarms can be entered or edited. The button changes to indicate if memos and alarms are present. Opens Memos On... with a list of Memos.

Generate Counts (Alt+G)

Opens IC Generate Counts, to generate counts.

Print Count Sheets (Alt+R)

Print count sheets for all counts. Opens IC Count Sheets.

Import Count (Ctrl+I)

Opens IC Import Count, to import counts.

Reload Expected Quantities (Alt+X)

Asks you to confirm, then if confirmed, expected quantities will be updated to match In Stock Quantities as at the end of the Stocktake period.

Note: This will load quantities as at the end of Stocktake Period, not as at the Stocktake Date.

This button is permission controlled, see Users, Groups and Roles - Permissions tab.

Insert Products (Alt+N)

Add products to the stocktake. Opens IC Insert Products. Each Product can only be included in one Stocktake per Period, per Location (in Accredo Saturn). The Expected Quantity is loaded from the balance record when a product is added.

Delete Uncounted Products (Alt+D)

Available when editing, removes all products that are not on any Count lines. You will be prompted to confirm.

Unpost (Alt+U)

Available when the stocktake is within the available period window for IC. This contras the adjustment transactions and sets the stocktake and counts to Unposted.

Print Stocktake Sheet

Available for Single and Additive Stocktake Count Types. Print stocktake sheet. Opens IC Stocktake.

Print Log

View the Print Log (requires Read access Permission for Company > Settings).

Buttons

Uncounted / Counted

Changes the Post Status of the Stocktake from Counted to Uncounted or from Uncounted to Counted. When a stocktake is set as Counted, Variances are recorded. If you change a Counted stocktake to Uncounted, variances are removed.

All Products for the Stocktake must be included in a Count, and all Counts must be Confirmed before a Stocktake can be set to Counted.

Once Counted Tracking requirements for Posting are calculated for:

• Lot tracked products
• Serial Purchase tracked products
• Bin Tracked locations < Saturn only.)

If variance is zero then tracking detail is assumed to be unchanged and not required. For Detailed Stocktakes full tracking is calculated, for other Stocktakes tracking must be specified where there is a variance.

Post (Alt+T)

Post the stocktake. Only available if the stocktake Status is Counted. Posting a stocktake will post adjustments for all stocktake lines with variances, and updates product quantities, and move the Stocktake to History. Once posted, Stocktakes cannot be edited.

Save (F9)

Saves changes to the Stocktake.

Cancel (Esc)

Discards all changes.

Product Tab

Product Code

The Product Code.

Description

The Product Description.

Location

Location of the product. (Accredo Saturn Only)

UOM Code (UOM Active only)

UOM code for the Product.

Counted / UOM Quantity

The quantity counted.

Variance

The difference between the quantity Counted and the quantity expected.

Count Lines

The number of Counts the product is included in, for the Stocktake.

Line Status

Whether the product is Counted or Uncounted.

Expected

The Expected Quantity, calculated as Opening Stock plus Movement (posted transactions) for the Stocktake Period, at the time the stocktake was generated.

Closing Quantity

The closing stock quantity.

Grid Toolbar

Expand Toolbar (Ctrl+F9)

Expand the toolbar to give access to all toolbar options. Press Esc to close the expanded toolbar.

Delete (F3)

Delete the selected Product from the Stocktake. Only available if the Line Status is Uncounted.

Open (F12)

Open to view and edit Product details in the IC Product form.

Drill Down (Shift+F12)

If the product has one Count Line, opens the IC Stocktake Count for the stocktake. If the product has more than one Count Line, opens a list of Count Lines for the Product that can be drilled down to the IC Stocktake Count form. You can also double-click to activate this. Not available in Edit mode.

Print Stocktake Lines

Print a report of the information in the grid.

Filter / Sort List (Ctrl+F2)

Clear Filter / Sort (Ctrl+F3)

Apply or clear a Filter & Sort. The button changes to indicate if a filter and sort is applied.

Customise (Alt+F5)

Opens Customise Fields, you can customise the fields visible in the grid.

Refresh (F5)

Reloads changes other Users may have made.

Prompt for Delete Line On/ Off (Shift+F3)

Toggle on and off to specify whether to confirm deletes. The default state is set in Users, Groups and Roles - Preferences tab.

Find (Ctrl+F)

Find a Product using the Product Code.

Totals Panel

Customise

Opens Customise Fields, you can customise the fields visible in the totals panel.

Total Weight (UOM not active only)

The total weight of products in the stocktake.

Total Volume (UOM not active only)

The total volume of products in the stocktake.

Quantity Over

The sum of the Quantity Variance greater than zero.

Quantity Under

The sum of the Quantity Variance less than zero.
