JC Job Invoicing

Navigator > Tasks > Job Costing > Job Invoicing

Enter invoices and credits against jobs. Begin with an invoice quantity and price against each transaction line. The invoice does not need to match the transaction lines, for example, lines can be left un-invoiced, over-invoiced or partly invoiced, and then invoiced later. There does not need to be a correlation between transactions on a job and the invoice produced, for example, for a quote.

Select Job

Select the job to invoice, click to edit.

Customer

Customer code for the Invoice. This can be changed. If the Customer is changed and there is a Default Job Code, the customer default fields will not be applied, but the job default fields will be retained.

Order No

The Order Number for the Invoice. Defaults from the Job Order number. If the customer has Order No. Required, an Order No. must be entered.

The IN Setting for Order No Check controls when a hint is displayed for repeating a Customer Order No.

Date / Period

The System Date and JC period (default), can be changed.

Complete Job

Selected, on Generate Invoice Job Status becomes Complete - the job is fully invoiced and complete for WIP (depending on permissions).

Complete Transactions

Selected, marks fully invoiced but not complete for WIP transactions as Complete For WIP in the invoice period on Generate Invoice.

Toolbar

ToolbarExpand

Expand Toolbar (Alt+F9)

Expand the toolbar to give access to all toolbar options. Press Esc to close the expanded toolbar.

Edit (F11)

Enter Edit mode, to edit the Job Invoicing information.

Print (Ctrl+P)

Print a report of selected information in the header and the grid - useful for checking invoicing. Go to Report Selections Form > Options > Customise to customise the report.

Insert Transaction (Ctrl+T)

Opens JC Transactions with the current job details. You can add further transactions while preparing the invoice.

 

Customise Toolbar

ToolbarExpand Customise Toolbar or right-click in the toolbar below the buttons to access the Customise Toolbar Menu.

Grid fields

Type

Shows the type of Transaction, from Materials, Disbursement, Time, or Narrative. Read-only.

Code

The Product Code. Read-only.

Description

Defaults to the Description from the Product code. You can enter a transaction description for the Description field on the invoice (can be edited).

UOM Code

(UOM Active Only)

The UOM Code from the Product. If the Product has more than one UOM Code, you can select the code to use.

Quantity / UOM Quantity

Amount being invoiced.

Unit

The stock and selling unit shown on the invoice. The number of decimal places for quantities from 0 - 6 can be set in Decimals. For example, if you sell a Product with a unit of metres, you will require 2 decimal places for 0.25 of a metre.

Sell Price / UOM Sell Price

The Unit Sell Price entered against the transaction (default), but the line can be invoiced at any price.

Disc%

The discount percentage to be applied to the Sell Price.

Group

The Sales Group code will be transferred to the Sales Group field on the invoice. It is the Sales Group entered against the transaction but can be edited here. Search for a sales group using the Accredo Lookups.

Ext Sell

The total pending invoice sell value of the line.

Cost Price / UOM Cost Price

The Unit Cost Price entered against the transaction (default), but the line can be invoiced at any Cost Price.

Ext Cost

The total pending invoice cost value of the transaction.

Grid toolbar

ToolbarExpand

Expand Toolbar (Ctrl+F9)

Expand the toolbar to give access to all toolbar options. Press Esc to close the expanded toolbar.

Zoom (Ctrl+F12)

Access grid fields in Form view for each line on the grid. Transaction lines can be edited in the form or in the grid. To view more fields, use the scroll buttons or resize the window.

Move (Shift+Up) (Shift+ Down)

Move a selected record up or down the grid order.

SelectOne

Select (F4)

Populates the quantity to invoice for the selected line with transaction quantity less quantity previously invoiced, and sets fully invoiced to true.

Select All (Shift+F4)

Populates the quantity to invoice for all lines with transaction quantity less quantity previously invoiced, and sets fully invoiced to true.

UnselectOne

Unselect (F3)

Unselect the current line for invoicing, the quantity to invoice will be set to zero and fully invoiced to false.

Revert All (Shift+F3)

Reverts the invoice quantities to the values prior to editing.

Open (F12)

Opens the selected transaction, you can view details before adding to the invoice.

Print (Ctrl+P)

Print a report of the information in the grid, useful for checking you are invoicing correctly.

Sort (Ctrl+F2)

Sort the transactions in ascending or descending order on one or more fields (for example, you can sort by Transaction type and Product code to group the lines meaningfully on the invoice). On Save the sort is also saved. New transactions are added at the end. Transactions that are complete for invoicing appear before sorted lines.

Customise (Alt+F5)

Opens Customise Fields, you can customise the fields visible in the grid.

Refresh List (F5)

Updates the grid with changes made by other users or in other forms.

HideInactiveShowInactive

Hide / Show Fully Invoiced Lines (Ctrl+H)

Toggle hiding and showing lines when there is no approval invoice quantity, and the line is marked Fully Invoiced. You can use this when when selecting un-invoiced or partially invoiced lines for further invoicing.

The default state is set in JC Settings - Invoicing tab.

Hide / Show Future Lines (Ctrl+F)

Toggle hiding and showing lines dated after the Period. When this is Selected, the Date and Period will be unavailable in Edit mode. You can use this to flag all lines for invoicing up to a particular period.

The default state is set in JC Settings - Invoicing tab.

Footer Information

Totals

The total job costs, the amount quoted and the amount previously invoiced against the job.

Buttons - lower

Open Invoice

Opens IN Enter Invoices, showing the invoice you have just generated. This is available for the most recently generated invoice, while JC Invoicing remains open.

Generated Invoice lines are subject to the JC > Tasks > Invoicing permission when editing the Invoice.

Generate Invoice

Create the invoice. Sales Person Code, Price Code, Discount Code, Contact and Email Contact are copied from the Job to the Invoice. Accredo Saturn Only: Branch, Department and Default Location are also copied.

Invoices created from jobs can be edited, although there are some restrictions on the details that can be edited for lines sourced from the job.

  • When an Invoice line sourced from a job is posted, stock records are NOT updated, as the stock has been used at the time of the job transaction.
  • New lines can be added to the invoice, however these will not be associated with the job, that is, new lines added must reflect additional goods or services unrelated to the job (stock records are updated). You must have Allow Non Job Amounts on Invoices selected from JC Settings - Invoicing tab.
  • If an invoice generated from a job is deleted, the invoice details on the job are blanked. If you generated an invoice incorrectly, you can delete the invoice and start again.
  • If you attempt to generate an invoice for a negative value, a credit is generated.

Note: Invoicing permission for Stop Credit applies when generating.

Invoice as Quoted

Button availability is determined from JC Settings - Invoicing tab.

For a job to have a Quoted value, an estimate must be entered and a quote printed.

Save (F9)

When you have finished entering the details for invoicing, you can save the details against the job - they are retained until the invoice is generated, this does not need to be immediately. For example, you can print a report of the planned invoice before generating.

Cancel (Esc)

Closes JC Job Invoicing without saving changes made since you last saved or generated an invoice.

Invoice Layout

JC Invoices contain the Job transactions being invoiced. Often, it is preferable not to show all the details to the customer. For this, you must create an Invoice Design that will show specified details only. Use Invoice Designer to determine if the invoice has been generated from a job to produce an invoice that prints different information depending on whether the invoice was generated from a job or entered directly. For example, you might want to summarise a Job Invoice by Time, Materials and Disbursements and omit the detail lines.
