AR Customer - Contacts tab

Navigator > Maintain > Accounts Receivable > Customers > Contacts tab

Add, edit or delete contacts.

Full Name

The contact's full name.

In Edit mode ,click CodeEdit Open Editor (F2)in the Full Name field. Opens Full Name editor. The Full Name column will appear as Title, First name, Middle name, Last name and Suffix fields.

Role

Job title of the contact.

Phone Nos

Customer telephone numbers. If Accredo is setup to interface with the telephone system, click  to dial.

Note: You can change the labels of the phone no fields in Company Settings - Display Labels.

Email Address

The contact email address. Click to create a Mail Message (Ctrl+M), or add the Email Address to a Batch Email (Ctrl+B).

Comment

A 60 character field for reference.

Custom 1

A 30 character field for reference. Custom 1 label can be replaced in AR Settings.

Custom 2

A 30 character field for reference. Custom 2 label can be replaced in AR Settings.

Inactive

When Selected, the contact is inactive.

Category 1

Category 2

Maintain from Navigator > Maintain > Company > Contact Categories.

Toolbar

ToolbarExpand

Expand Toolbar (Ctrl+F9)

Expand the toolbar to give access to all toolbar options. Press Esc to close the expanded toolbar.

Zoom (Ctrl+F12)

Zoom to form view to see the contact details.

Insert (F4)

Insert a new contact for the customer (permission dependant).

Move up

(Shift+Up)

Move down

(Shift+Down)

Move the line up or down.

Delete (F3)

Delete the contact. Contacts with active documents cannot be deleted.

Open (F12)

Open the contact in AR Contact.

Print (Ctrl+P)

Print a report of contacts for the selected customer or save as an Excel Worksheet or PDF file to send by email.

Sort List (Ctrl+F2)

Select the sort criteria in Sort - Contact.

Customise (Alt+F5)

Opens Customise Fields, you can customise the fields visible in the grid.

SetAsDefault

Set Primary Contact (Ctrl+S)

Select a contact to be the primary contact for the account. Primary contact is displayed in Bold, and will appear in the Primary Contact panel on the Customer tab.

RecordLinks

Links (Alt+F6)

Opens Links On... for the record, with a list of links for the record. The button changes to indicate if links are present.

RecordMemo

Memos & Alarms (Ctrl+M)

Memos and alarms can be entered or edited for contacts. The button changes to indicate if memos and alarms are present. Opens Memos On... with a list of Memos for the Contact.

HideInactiveShowInactive

Hide / Show Inactive Contacts(Ctrl+H)

Hide or show inactive contacts.

CompanyContactRemove

Add / Remove as Company Contact (Alt+P)

Add or remove the contact as a Company Contact.

 

Customise Toolbar

ToolbarExpand Customise Toolbar or right-click in the toolbar below the buttons to access the Customise Toolbar Menu.

Email Documents Panel

Statements

The email address to send Statements and Receipts to.

Invoices

The email address to send Invoices to.

Quotes

The email address to send Quotes to.

Packing Slips

The email address to send Packing Slips and Order Confirmations to.

eInvoice Enabled
eCredit Enabled

Settings for eInvoicing. If customers system is eInvoice Enabled but does not support credits, credits will be sent as negative invoices.

An email address can be specified for each document type. To select an email address, select a document type from the Email Documents panel, click ActionList Select Address(F2) to open Select Email. To select multiple addresses, enter a semi-colon (;) then click ActionList Select Address(F2) again. If an email address is subsequently edited you will be prompted to update matching document email addresses. If an email address is not specified for a document the customer will not be included in Batch Email for the document type.
