Invoices and Credits can be entered when Allow AR Sourced Invoices and Credits is selected in AR Settings.
Enter details of invoices and credits, and analyse them to Sales Group and GST codes. Options only for manual invoicing. You can update Customers for statements and Sales Analysis. These options do not allow you to print invoices or integrate to IC.

Customer Code |
The Customer the transaction affects. The Customer Name, Currency and Regime code will be displayed. |

Date |
The date of the previous transaction (default), or the System Date (can be changed), must be within the date range for the selected period. If the Transaction has been previously saved and has Allocations, the Transaction Date can not be later than any Allocation Dates. |
||
Invoice / Credit Number |
The transaction reference. |
||
Order No |
The customer's Order Number. If JC is present, the Order Number is transferred to invoices generated from the job. If the customer has Order No. Required, an Order No. must be entered before an order, invoice or a normal job can be saved. |
||
Comment |
Add a comment to be recorded against the transaction. |
||
Rate Type |
Type of exchange rate. |

Exchange Rate |
The exchange rate. |
||
Auto Allocate |

Gross |
Enter the gross amount of the transaction including GST. (Only applies if IN is not installed and Invoices and Credits are being entered in AR for statement production). Shown in Base and Customer currency. |
||
Discount Available |
Discount Available is calculated from the Customer Payment Discount % If a discount is available for the customer this is shown. Shown in Base and Customer currency. |

Net |
The net amount of the invoice or credit. Shown in Base and Customer currency. |
||
Hold |
Hold Amount for the invoice. An amount held back as not due for payment on the due date. Terms permission required. Can not be greater than the unallocated amount. Hold Amount and Due Date can be edited during allocation and after posting while the transaction is not fully-allocated. |

Narration |
Narration for the transaction. If you perform detailed transfers to General Ledger, the narration is carried through to the General Ledger Batch line. |
||
Due Date |
The Payment Due date, defaults from Invoice date based on Customer Payment Due terms, can be changed subject to user Terms permission, may not be earlier than Invoice Date. |
||
Discount Date |
The Payment Discount date. Defaults from Invoice date based on Customer Payment Discount Available terms, can be changed subject to user Terms permission, may not be earlier than Invoice Date. |
||
Sales Area |
The Sales Area Code to analyse the net amount of the invoice to. |
||
Sales Person |
The Sales Person code to analyse the net amount of the invoice to. |
||
Branch |
The Branch for the transaction - analysis lines for Invoices and Credits can be assigned another Branch. (Accredo Saturn Only)

Department |
The Department for the transaction - analysis lines for Invoices and Credits can be assigned a different Department. (Accredo Saturn Only)

Bill From |
If the Customer code has Bill To Customer set (for example, customer is an individual but billing is to head office), when the transaction is saved, this field shows the original Customer code entered, and the Customer code field is re-populated with the Bill To Customer code. If there is No Bill To Customer code, the From field still populates with the Customer code, both fields will show the same code. |

Balances |
Aged account balances are for information only, POST to update. |

Pending Total |
The figure that will appear in the Total field on Save. |

Enter the analysis breakdown and GST of the invoice or credit. You can analyse an invoice or credit between many Sales Groups. GST will be analysed according to the GST code for the Sales Group, unless the customer has a GST Override Code. You can |

Code |
The Sales Group code to allocate the amount on this line to. Search for a sales group using the Accredo Lookups. |

Analysis Name |
The name of the Sales Group code selected above. |
||
GST Code |
The default GST code for the Sales Group code specified (can be edited). |

Amount |
The GST exclusive amount to be analysed to the Sales Group code on this line. |
||
GST |
The GST included is calculated from the GST override in AR Customer or the default GST code for the Sales Group codes you select. See GST Line Calculations for calculation details. Zero-rated supplies mainly apply to businesses involved in exporting. If the business is in this category, you are required to show the zero-rated supplies on the GST return and will need to select the appropriate GST code in the Sales Analysis lines. Typically, if the invoice is to an overseas customer, their GST override (and hence the GST code on all analysis lines) should be set to "0" (Zero-Rated supplies), the GST amount adjusts when this code is selected. Handling zero-rated sales in this way will ensure that the amount shows correctly in the Zero-rated supplies field in the Sales and Income section of the GST return. You can edit the GST code for an analysis line, but if you need to do this regularly, ensure you have the appropriate GST code entered in Sales Group Code. |

GST Inclusive |
Shows the GST content of the amount analysed in the grid. |

Balance to Analyse |
Shows the invoice or credit amount yet to be analysed to a Sales Group code. Each time an amount is entered in the Amount field, the Balance to Analyse will be reduced by the amount entered, plus GST if applicable. Allocating
For transactions where auto-allocate is not selected (normally Open-item customers) after entering a credit in AR, you are prompted to allocate immediately. If you do not, the transaction will be posted but remain unallocated but can be allocated later, otherwise you will be transferred to allocations. When auto-allocate is Selected (normally balance forward Customers), the transaction will be allocated and posted against the oldest outstanding balances.
Effect of the transaction
Invoices |
For invoices, the account balance is increased by the gross amount, the gross amount less GST is added to the month and year to date sales. The analysed amounts are added to the Sales Group Analysis and GST Analysis is updated. |
Credits |
For credits the account balance is reduced by the gross amount, the sales are reduced by the gross amount less GST and the analysed amounts are deducted from the Sales Group Analysis and GST totals. |
