Customise Layout - Report tab

Navigator > Reports > [Module] > [Folder] > Add Layout > Options > Customise - OR -

Navigator > Reports > [Module] > [Folder] > Add Layout > Right-click > Add Layout, Edit Layout OR Duplicate Layout

Reports can be customised to show different information. Information bands are shown in different tabs, depending on what is available to the individual report. Select fields in different tabs to be included in the report.

Use the Preferences tab to set design preferences, and the Users tab to set user access for the report.

Report options are dependent on Permissions. Access to customise report layouts is controlled as followed:

Fields

Layout Name

The name that will appear in the Navigator. Click ReportPreferences Selections to set defaults for the Report Selections Form.

To show the report in a sub-folder in the Navigator, include the folder name followed by \ then the report name. For example, Stock\Stock Levels will display the Stock Levels report in a Stock folder. Some examples are:

  • \LayoutName will move the layout to the Reports > folder
  • \FolderA\LayoutName will move the layout to Reports > FolderA folder
  • \AR\FolderB\LayoutName will move the layout to the Reports > AR > FolderB subfolder
  • FolderC\LayoutName will move the layout to subfolder FolderC in the report's current folder, such as Reports > AR > Customer Reports > FolderC

Note: You cannot change the name or Selections defaults when you access Customise Layout from Options > Customise in the Report Selections Form.

Report Title

The title of the report that will appear on Report Selections Form and the printed report. When the Layout Name is changed the report title will update.

Short Name

The default name to be used when the report is saved to a Disk File or Excel Worksheet.

ReportPreferences Selections

Click to set defaults for the Report Selections dialog when the report is opened.
Not available from Report Selections > Options > Customise.

Sort Order

The position in a Navigator folder, with lower number items shown before higher number items.

ShowNavigatorOrder Display Navigator Item Ordering (Ctrl+H) will show or hide the order numbers on items in the Navigator.

Tab Order

Select the position of the tab, when a new Tab is added. For existing tabs, the order number is displayed.

Tab Name

Select or enter the Navigator tab for the shortcut to appear on. To add a new tab to the Navigator, enter a new tab name.

RecordFilterSort_Hot

Filter / Sort Table (Ctrl+F2)

Apply or clear a Filter & Sort. The button changes to indicate if a filter and sort is applied.

Table

For multi-table reports, determine the fields to appear that a Filter & Sort applies to. A table corresponds to a band. All tables available for a report can be customised. For single table reports, this is unavailable, as the table is selected.

Grid

To include an item select the Visible field. The selected field will appear left of the report.

Field Name

Lists the database fields available on the report layout for the selected table.

Display Label

The field heading to appear in a report, only appears if the field is marked visible.

Width

The width of the field in characters. The digit 0 is used as the standard width character. If the field contains all upper case characters and proportional fonts, set it wider than the number of characters to report all the data in the field.

Group

Add grouping to reports. To group the report on a field, enter a digit (1-9) in this field. The number represents the grouping level - 1 is the outermost level of grouping. It is unusual to group more than one level, to select grouping enter 1 in this field for all grouping fields, for example, to group an inventory report on Stock Group, enter a 1 in this field for StockGroupCode and StockGroupName. Group numbers must start from 1, and must be consecutive.

Freeze Excel

Selected, when the report Destination is Excel Workbook or Disk File and Format is Excel XLSX File columns will be frozen at this column. See Preferences tab to Freeze Excel Headers.

Total

Only available for numeric fields.

Selected, the field total is shown. Click to toggle the value.

Blank Zero

Select this beside the fields to display blank if the amount is zero.

Format

A string of characters that determines how the result of the expression is formatted on the printed report.

Domain

Field domain (read-only).

FX Code Field

For FX Fields, the FX Code Field (read-only).

Origin

Field location in the database.

Label Visible

Selected, the field Display Label is shown in the report.

Grid Toolbar

ToolbarExpand

Expand Toolbar (Ctrl+F9)

Expand the toolbar to give access to all toolbar options. Press Esc to close the expanded toolbar.

Move (Shift+Up) (Shift+ Down)

Select a field name, click to order the list of fields. Move an item down the grid (further to the right of the Report). Click to move an item up the grid (further to the left of the report).

Print (Ctrl+P)

Print a report of the information in the grid.

Select all (Shift+F4)

Select all fields.

Unselect all (Shift+F3)

Unselect all fields.

Sort fields (Alt+O)

Moves selected fields to the top of the list in the order they were selected, and sorts the rest alphabetically.

GetDefaults

Refresh field (Alt+F)

Set the Display Label and Field Width for the current row to the default.

RestoreDefaults

Restore Defaults (Alt+R)

Restore field selections to the defaults for a new layout.

Buttons

Save

Save the customised layout with the Layout Name. Customisations will apply when the report is Run. If you edit an existing layout, this will overwrite the file.

Cancel (Esc)

Cancels changes without saving and closes the window. If you use Restricted Customise Layout, this will retain the previously saved Report layout.

One Time

(F9)

You can preview the Report layout, (only in Restricted Customise Layout), saving the current session, and is available when you access Customise Layout from Report Selections Form > Options > Customise.

Closes Customise Layout while retaining changes for the report, click Save.

Hint: Preview in Report Preview from Report Selections Form > Options > Save.
