Who

What

Where

Setup criteria to add rules to the Rules grid. You can select a Type in the left box and a Code in the centre box. When a code is selected, the Name is displayed in the right box. Available Types are set in the Who, What, Where grids.

For example, to setup rules for a:

  • Creditor - specify a Who Type of Creditor, select the Creditor Code, specify a What Type in the Header, then select individual What Codes in the grid.
  • Product - specify a Who Type, specify a What Type of Product, select the Product Code, then select the individual Who Codes in the grid.

If you select a Product, the UOM Code will default to the Base UOM for the Product, and will default the UOM Multiplier to 1.

If Who and What Criteria Counts are set to 1 in PP Settings, one pair of fields is available; if set to 2, a second pair of fields will be available.

Where fields are only shown if Where types are made available in the PP Where grid.

Start Date

End Date

You can set a Start date, an End date, both or neither.

Reference

Reference field for the rule. This can be used to search on in PP Select Rules. You can use this to filter when loading rules or to identify new rules. For example, you could enter Contract in this field for contract pricing rules.

Comment

Add up to 60 characters, use a filter in PP Select Rules to select rules by comment.

Rule Type

Select the rule type from:

  • Fixed - Purchase Price = the Amount and Discount percentage.
  • Cost Relative - Purchase Price = Cost Price less the Amount and / or the Discount Percentage. If both an Amount and Discount Percentage are entered, the Amount is subtracted first, then the Discount Percentage is applied.

This defaults from PP Settings.

Base Cost

Select the Base Cost to use when calculating a Cost Relative price.

Cost Relative rules rely on a Supplier Cost record existing and use either Supplier Standard Cost or Supplier Cost depending on the Cost Basis specified on the Creditor record.
If a Supplier Cost record is not found the rule will be Disallowed when the pricing decision is made.

Select from:

  • Cost - use the base Cost without Discount
  • Discounted Cost - use the base Cost after Discount

This defaults from PP Settings.

Priority

Determines priority if more than one rule applies to a transaction line. 1 is highest priority, 9 is lowest. Default is set to the highest priority from Who, What, Where criteria selected in the Header. If two or more rules share the same priority, the lowest price applies. You can modify this by creating a script based on the default (PPDefault.pfs) in PP Script Editor. If a priority is not set and the lowest price must apply, leave the priority for all rules set to 9.

Hint: You can reserve priority 1 for a rule to override all others (for example, contract pricing, when no other discounts or Purchases apply).

Inactive

Selected, all rules in the grid will be inactive.

Clear, (default) new rules added in the grid will be active.

You can set rules to Inactive individually in the Rules grid.

Toggle between showing and hiding the adjacent field in the Rules grid.

For example, you can use this to:

  • Make a group of Active rules Inactive, or make a group of Inactive rules active.
  • Change the End date for a group of rules.

Opens the PP Populate Selection form. The grid will be populated with one new line for each Code specified. Use the From and To fields to select a range of Codes, or use the ReportFilterSort Filter (F2) button to select Codes.

For example, you can use this to enter a Purchase Price for:

  • A number of different Products that are not part of a group.
