Prune History

Navigator > Setup > Company > Utilities > Prune History

You can delete historical Transactions, Documents and Balances, outside the years of history retained. You can also optionally select to remove Inactive Masterfiles with no history once transactions and documents are pruned.

There is no requirement to prune history. Pruning history will reduce the size of the database and make file recovery faster but will not otherwise significantly affect speed of operation. Only Prune history you no longer require.

Warning: You will be prompted to back up your data before running this utility, as the process cannot be reversed. If you experience power or other failure during processing, restore the backup and perform the Prune History again.

Selections and Backup Confirmation will be recorded in the File Recovery log.

Module

The module(s) to prune.

AR includes IN and OE modules.

AP includes PO module.

Prune

Select to delete Transactions, Documents and Balances for masterfiles in the Module, for years not retained. See Retain below.

Selected, data will be deleted for the selected module.

Clear, data will not be deleted for the selected module.

Prune Inactive

Select to also remove Masterfiles flagged as inactive which have no transactions or balances after pruning.

Selected, Inactive masterfiles will also be deleted.

Clear, Inactive masterfiles will be retained.

Retain

The number of years of history to be retained. This defaults from the Setup > [Module] > Settings > Period tab > Retain Years History. The minimum allowed is 1 which will include the current and last year's data.

Actual

Shows the actual years of history available.

Prune

The number of years that will be pruned.

Prior To

Periods before this period will be pruned.

First History Period

Shows the first history period available.

Grid Toolbar

ToolbarExpand

Expand Toolbar (Alt+F9)

Expand the toolbar to give access to all toolbar options. Press Esc to close the expanded toolbar.

Customise (Alt+F5)

Opens Customise Fields, you can customise the fields visible in the grid.

Select All (Alt+A)

Select all modules for pruning.

Unselect All (Alt+U)

Unselect all modules for pruning.

Select All For Prune Inactive

Select all modules selected for pruning, for prune inactive.

UnselectPruneInactive

Unselect All For Prune Inactive

Unselect all modules for prune inactive.

Buttons

Run (Alt+R)

Selected records will be deleted.

Cancel (Esc)

Discard changes and close the form.

Note: Custom tables can be pruned using MaxBasic scripting.
