Email Statements

Emails a batch of accounts receivable customer statements in one run. You choose which customers to include, compose a covering message that is sent with the statements, then send. The screen reports the outcome for every email once the run finishes.

Note: Email Statements is found under the Email folder in the Accounts Receivable section of the navigator. The folder and this task only appear when you have the AR Statements task permission (see Permission below).

How it Works

The screen has two tabs:

When you click Send Emails, one email is generated per selected customer (their statement is attached as the report document) and addressed using the customer's statement email address. The screen then switches to a results view summarising the run.

Selections

The Selections tab presents the standard Accredo selection criteria for the statement run. The available criteria are supplied by the server for the statement report (the same criteria you would set when running statements on the desktop) and let you narrow the run, for example by a range of customer codes and the statement period. Leave a criterion blank to include everything in that range.

Tip: The Selections tab determines which customers are emailed. The Email tab determines what message they receive. Set the selections first, then switch to the Email tab to compose the message before sending.

Email Tab

The Email tab is where you compose the covering message sent with every statement in the run. The same message is used for all recipients; per-customer details are filled in by merge fields.

Subject

The email subject line. Accepts merge fields, so it can include per-customer values (for example the customer name).

Message

The body of the email, edited as rich text (HTML). This is the covering note that accompanies the attached statement. Merge fields can be inserted anywhere in the message.

Email Filename

The file name used for the attached statement document. Accepts merge fields.

Append Signature

When ticked, your configured email signature is appended to the message. You can also insert the signature at the cursor from the message editor's toolbar.

Sender & copies

An expandable section (collapsed by default) holding the From, Reply To, CC and BCC addresses. Leave a field blank to use the company default for that address.

Templates

The Email tab seeds from the default statement email template when it opens, so the subject, message, file name and append-signature setting are pre-filled. Use Choose Template… to pick a different saved template. If you have already edited the message, choosing a template asks you to confirm before it replaces the subject, message, file name and append-signature with the template's content.

Note: If the default template cannot be loaded, the message opens blank and editable with a notice; you can still compose and send. The run is never blocked by a missing template.

Merge Fields

The Merge Fields picker (a side panel on wide screens, a dropdown on narrow screens) lets you insert per-customer values into the subject, message or file name. It has three tabs:

Objects

Data fields grouped by object, inserted as Object.Field (for example a customer field). These are filled in for each recipient when the email is sent.

Functions

MaxBasic functions, grouped, each inserted with its signature.

Operators

Operator symbols.

Picking an item inserts it at the cursor in whichever field (subject, file name or message) you last had focused. Field tokens are wrapped in «» markers automatically. A search box filters the catalogue across all groups.

Attachments

Use Attach Files… to attach additional files alongside the statement. The same attachments are sent with every email in the run. You can attach up to 5 files, each within the company's maximum upload size. Files that are too large, duplicates, or that fail to read are reported and skipped.

Running the Batch

The run is processed asynchronously, so progress messages appear beneath the button while it works. When it completes, the screen replaces the form with the results view.

Results

After a run, the results view shows one row per email. An All / Errors / Success filter lets you focus on failures, and a footer shows the record and error counts. The columns shown by default are:

Account

The customer account code the email was generated for.

Name

The customer name.

Email Address

The address the statement was sent to.

Email Subject

The subject line as sent (after merge fields were filled in).

Message

The status/result message for the email. Rows that failed are emphasised so send errors are easy to spot.

An Email Number column is also available via the column chooser. Use Back to Selections to return to the form and run again.

Permission

Note: Email Statements requires the AR Statements task permission. If you do not have it, the Email folder and this task do not appear in the navigator.
