Report Preferences

Navigator > Setup > Company > Reporting > Report Preferences

Set default preferences for producing reports.

Default File Format

Select from:

  • Adobe PDF - view using View Saved Report from the Reports tab or Adobe Reader. When generating PDF files, if fonts are not found, Helvetica will be used. We recommend using standard system fonts in PDF documents.
  • CSV File - fields on a line are separated by commas.
  • Tab Delimited File - similar to CSV file except the fields are separated by the tab character.
  • Quoted CSV File - CSV File with string fields enclosed by double quotation marks (" ").
  • Excel XLS File - Microsoft Excel file.

Excel File Format

Determine the file format to use when Excel format reports are run to file.

  • Excel 97-2003 (.xls)
  • Excel (.xlsx)

PDF Image Max Dpi

Set the default maximum Dpi (Dots per inch) for images in report pdf files. Defaults to 300 dpi. Picture boxes in report pfd files will recalculate the dpi for images to match this setting.

Double Spacing

Selected, by default, reports will be formatted with double spacing.

Shade Alternate Rows

Selected, by default, alternate rows on reports will be shaded, based on the Report Row Shade set in Preferences - Display tab.

Suppress Grand Totals

Selected, by default, no grand totals for the top level of grouping are printed.

Enable Clickable Fields

Fields in reports layouts printed to screen can respond to click to open source record.

Selected, (default) preference will be selected by default in new reports layouts.

Clear, preference will be clear by default in new reports layouts.

Include Created Modified in Footer

Created and Modified information is tracked for report layouts.

Selected, (default) shows the User code and date the layout was created, and last modified in Customise Layout.

Auto Open File

Set default when Report Destination is Disk File.

Selected, the file will automatically open with the system default viewer after it is created.

Include Date on File Names

Selected, report files attached to email or printed to disk file have the date that the file was generated encoded into the file name in the format yyyymmdd.

Clear, no date is encoded in the file name.

New Excel Workbook

Selected, when running reports to Excel, by default, a new workbook will be created.

Embed Fonts in PDF reports

Selected, (required, cannot be cleared) fonts which allow embedding are embedded in pdf files so that pdf's will be viewed as generated regardless of the viewing device.

Note: All TrueType and OpenType fonts have “embedding permissions” encoded within them, these are typically set by the font’s supplier, and are defined as part of the OpenType font file specification, if the font is set to No embedding—The font supplier does not allow embedding. These fonts are quite rare. We do not recommend using fonts that do not allow embedding.

Column Headers

Selected, when the report Destination is Disk File and Format is a delimited file, column headers are included in the output file by default.

Append to File

Selected, when the report Destination is Disk File and Format is Adobe PDF or Excel XLSX File, if the File is an existing file, the report will be appended to the end of the file.

Freeze Excel Headers

Selected, when the report Destination is Excel Workbook or Disk File and Format is Excel XLSX File by default column headings will be frozen.

Reporting Fonts

Select the font for each section. Click the relevant font button to open Windows fonts.

Restore Default Fonts

Restore font settings to their defaults.

Page Layout

Automatic - print in portrait orientation if the report will fit, otherwise print in landscape. If a report doesn't fit landscape, fonts will be scaled down.

Portrait or Landscape - print in the selected orientation. If a report is too wide to fit based on selected fonts and orientation, fonts will be scaled down.

Report Margins

Unless margins are set, reports will print close to the edge of the paper. This can make them hard to file in a ring binder. If data near the margins is missing, the wrong printer driver may be installed. You can temporarily increase the margins to fix this.

Buttons

Edit (F11)

Enter edit mode.

Save (F9)

Save changes. Defaults will be applied when new non-customisable report layouts are added.

Cancel (Esc)

Discard changes and close the form.
