GL Import From Subsidiaries

Navigator > Tasks > General Ledger > Import from Subsidiaries

General Ledger Batches can be imported from another Company. Subsidiary companies can be set in Subsidiary Companies.

Subsidiary

Select a subsidiary or leave blank for all subsidiaries.

Note: To be able to import from a subsidiary company, your company must be set as an Import Destination in the subsidiary company.

Status

Select batch status to import.

Batches

From Period

To Period

Select the Period range for the batch import. Batches to import are determined automatically based on period start and end dates in the subsidiary companies.

Note, period and year structures do not have to match, the period end date in the subsidiary determines the period the batch will import into.

Source information is tracked on the imported batches, Company Code, Source ID, Source Currency and Exchange rate - so previously imported batches are excluded by default.

Include Previously Imported

Selected, re-import batches that have already been imported.

Note, if an imported batch is deleted it is not considered previously imported.

Run (F9)

A list of Batches to import displays (see below). Deleted batches will not import.

Batches to Import

Displays a list of batches to be imported from the subsidiary company

Grid Toolbar

ToolbarExpand

Expand Toolbar (Alt+F9)

Expand the toolbar to give access to all toolbar options. Press Esc to close the expanded toolbar.

Delete (F3)

Delete the selected row.

Print (Ctrl+P)

Print a report of the information in the grid.

Customise (Alt+F5)

Opens Customise Fields, you can customise the fields visible in the grid.

Buttons

Import (F9)

A list of batches imported displays in GL Import from Subsidiaries Results.

Cancel (Esc)

Discard changes and close the form.

Importing from Companies with a Different Base Currency

If the Subsidiary Company base currency differs from the destination Company base currency, we recommend importing batches period by period. You will be prompted for Exchange rates to convert the batches at. You can use different exchange rates for Income/Expense (Exchange Rate IE) vs Asset/Liability/Capital (Exchange Rate ALC) with a balancing entry automatically coded to the Unrealised Variation Reserve Account setup from Navigator > Setup > Foreign Exchange > Settings > General tab.
