Periods & Years

Financial years can contain up to 98 accounting periods, in most cases 12 or 13. Not all financial years need to contain the same number of periods, making it easy to change a balance date for a Company. The financial year name can be edited, and you can access the Periods grid for a financial year.

Grid Toolbar

ToolbarExpand

Expand Toolbar (Alt+F9)

Expand the toolbar to give access to all toolbar options. Press Esc to close the expanded toolbar.

Insert (F4)

Add a new financial year and its periods, using the Add Year form (see below).

Delete (F3)

Delete a financial year.

Open (F12)

Opens the Periods grid. View details of the periods in the financial year.

Print (Ctrl+P)

Print the Company Year List.

Customise (Alt+F5)

Opens Customise Fields, you can customise the fields in the grid.

Refresh (F5)

Reloads changes other Users may have made.

Add Year Form

Click Insert (F4) to add a new year using the Add Year form.

Year Name

The name for the financial year is based on the previous financial year or the System Date if this is the first year.

Period Style

Determines the number of periods and the likely period start and end dates.

12 Month

Creates a year containing 12 calendar months.

4/4/5 Week

Creates a year containing 12 periods with all periods ending on the same day of the week. Each 13 weeks consists of three periods of 4 weeks, 4 weeks then 5 weeks.

4/5/4 Week

Breaks the 13 weeks into 4 weeks, 5 weeks then 4 weeks.

5/4/4 Week

Breaks the 13 weeks into 5 weeks, 4 weeks then 4 weeks.

52 Week

Creates a year containing 52 weekly periods. This is sometimes used in the food industry.

13 Period

Creates a year containing 13 periods of approximately 4 weeks each.

Single Period

Creates a year as a single period. This is useful if you only do the books for a company once a year.

2 Period

Creates a year containing 2 periods of 6 months each.

6 Period

Creates a year containing 6 periods of 2 months each.

Custom

Select the end date and number of periods for the year. Accredo creates periods of approximately equal length from the start to end dates of the financial year.

 

Plus Adjustment

Selected, an adjustment period is added at the end of the financial year.

Financial adjustment periods are optional, only visible to the GL, and occur on the final day of the year. They allow you to separate year end adjustments (e.g. adjustments from your Accountant) from other GL processing and to easily report with or without the adjustments applied. There is no separate end of period update required for the Adjustment period.

Initial Status

Open or Closed, select closed periods and open them as you reach them.

Start Date

Can only be entered for the first financial year; then it is calculated as the day immediately following the last day of the previous financial year.

End Date

Except for the custom style, this is calculated. You may only need the custom style and to set this date if the Company balance date is changing.

Periods

The number of financial periods in the year. Can only be entered for the custom style.

Buttons

Save (F9)

The appropriate periods are created and appear in the Periods grid. These can be edited.

When you are adding the first year, you will be prompted to confirm that the dates are correct. Check the dates to make sure you have the correct starting date.

Cancel (Esc)

Discard changes and exit the window.
