Memos, Alarms & Reminders

Memos store free-form notes against an Accredo record. The same memo screen is shared across modules — only the kind of record a memo is attached to changes (a customer in Accounts Receivable, a creditor in Accounts Payable, a product in Inventory Control, or company-wide in Company). A memo can be a plain Memo, an Alarm, or a Reminder. This page describes the memo list, the memo editor, the body editor, reminders and alarms, and recurrence options.

Memo Types

Every memo is one of three types. The type is chosen when the memo is created (from the Add menu) and can be changed afterwards with the Convert to action while editing.

Memo Passive information attached to a record. It does not pop up; it is read when someone opens the record's memo list.
Alarm A message that surfaces when the associated record is opened. Active alarms are shown in the Active Alarms dialog, where each can be opened for editing or marked Inactive. An Action On date can be set to influence when an alarm surfaces; the precise active/passive behaviour is determined by the server.
Reminder A message that pops up at a set date and time for a target user. Reminders require a Target User Code, an Action On Date, and an Action On Time. A reminder can be snoozed or dismissed when it pops up.

Memo List

The memo list shows the memos for a module. For Accounts Receivable, Accounts Payable, and Inventory Control the list spans all accounts of that type and can be filtered to a single account. For Company, the list shows the company-wide Global memos.

Columns

The default visible columns are:

Memo ID, Account Code, Memo Date, Memo Time, Memo Type, Reference, Subject, Target User Code, Action On Date, Action On Time, and Inactive. The Account Code is shown as a link to the underlying record (customer, creditor, or product). The list is sorted by Memo Date then Memo Time, both descending, by default. Rows for inactive memos are styled to stand out.

Selections (Filters)

Memo Type Multi-select filter on the memo type (Memo, Alarm, Reminder).
Target User Filters by the assigned user. Looks up from the COUSER table (User Code / User Name).
Category 1 Filters by the first memo category. Looks up from the COMOCAT1 table.
Category 2 Filters by the second memo category. Looks up from the COMOCAT2 table.
Show Inactive When off (the default), inactive memos are hidden. Turn on to include them.
Account Code On the Accounts Receivable, Accounts Payable, and Inventory Control lists, an additional filter that restricts the list to a single account, looked up from that module's record table (customer, creditor, or product). The Company (Global) list does not offer this filter.

Preview Panel

On wide screens, a resizable preview panel appears on the right. Clicking a row in the grid shows that memo's body text in the panel without opening the editor. The panel has an Edit button that opens the memo text in a narrative editor so the body can be edited in place. The panel width can be dragged and is remembered per list; a reset control restores the default width.

List Actions

Creating and Editing a Memo

The memo editor opens full-screen. The page title reflects the type and account — for example "New Reminder for ACME01", "Edit Memo 1234 for ACME01", or "Global Alarm" for company-wide memos. A chip in the toolbar shows the linked account; in view mode the chip links to the account record (except for Global memos, which are not tied to a pickable account).

Editor Actions

Memo Tab – Details

Account Code The record the memo is attached to. Shown only when creating a new memo; it is looked up from the module's record table. Once the memo is saved, the account cannot be changed (it becomes read-only when editing). For Global (Company) memos the account is fixed and the field is read-only.

Read-only when editing an existing memo, and for Global memos.

Subject A short title for the memo.
Date The memo's date and time, entered as two fields (Memo Date and Memo Time). For a new Reminder, the date and time default to the next half-hour ahead, offset by the reminder interval.
Reminder How far ahead of the memo date/time the reminder should pop up. Selected from a fixed list of intervals: 0 minutes, 5, 10, 15, 30 minutes, 1, 2, 4, 8, 12 hours, 1, 2, 3, 4 days, 1 week, or 2 weeks. Changing this recalculates the Action On Date and Time. This field is editable only for Reminders; for Memos and Alarms it is cleared and read-only.
Target User Code The user the memo (or reminder) is assigned to. Looks up active users from the COUSER table. Required for Reminders; for a new Reminder it defaults to the logged-in user. Only one user receives a given reminder — to remind several users, create a separate reminder for each.
Action On The date and time the memo acts on, entered as two fields (Action On Date and Action On Time). For Reminders this is when the reminder pops up and is required. For Alarms, an Action On Date can be set to influence when the alarm surfaces. For Memos and Alarms the Action On Time is cleared and read-only.

Memo Tab – Memo Text (Body Editor)

The Memo Text box holds the body of the memo. It is read-only in view mode and editable in edit/new mode. The editor adapts to the memo's Content Type:

Plain Text A simple text body with no formatting.
Markdown A Markdown-formatted body.
HTML A rich-text (HTML) body.

The Content Type is set on the Classification panel. The default content type for new memos comes from the company "Default Narrative Content Type" setting.

Warning: Switching the Content Type converts the existing body. Converting between Markdown and HTML, or down to Plain Text, passes through plain text and loses formatting.

Memo Tab – Classification

Reference A free-text reference for the memo.
Custom1 / Custom2 Two custom text fields for additional classification.
Category1 / Category2 The two memo categories, used for grouping and filtering. These correspond to the Category 1 (COMOCAT1) and Category 2 (COMOCAT2) tables.
Content Type Selects the format of the body text (Plain Text, Markdown, or HTML). See the Body Editor section above.
Inactive Marks the memo inactive. Inactive memos are hidden from the list unless "Show Inactive" is on, and inactive alarms no longer pop up.

Recurrence Tab

The Recurrence tab applies to Reminders only. Recurrence is enabled by entering a recurrence count; the remaining fields stay read-only until a count and unit are set, and the whole tab is read-only for Memos and Alarms.

Recurs Every (Count + Unit) How often the reminder repeats, expressed as a number (the recurrence count) and a time unit. Setting a non-zero count enables the recurrence. The unit is chosen from the system Time Unit list. Recurrence is editable only for Reminders.
Day of Month The day of the month the reminder recurs on. Editable only when the recurrence unit is Months.
End Date The date after which the reminder stops recurring.
Weekday Offset A Weekday Offset field on recurring reminders, editable once a recurrence count and unit are set.
Reminder Interval The advance-warning interval for each recurring instance, chosen from the same fixed list of intervals as the Reminder field on the Memo tab.

Custom Fields

A Custom Fields tab is included automatically for any user-defined fields configured for memos.

Active Alarms

When active alarms exist for a record (or globally), they are shown in an Active Alarms dialog. Each alarm shows its subject, reference, memo ID, account, party, body text, and created/modified audit details. From the dialog you can:

Reminders (Pop-ups, Snooze, Dismiss)

Reminders that are due surface as pop-ups for their target user. When a reminder pops up it can be snoozed for a chosen interval or dismissed. Snooze intervals range from 15 minutes before start through to 2 weeks. Snoozing reschedules the reminder; dismissing closes it.

Account Linkage by Module

The memo screen is shared across modules. Only the kind of record a memo attaches to differs:

Accounts Receivable (AR) Memos attach to a customer (the ARCUST record). The Account Code looks up the Customer Code.
Accounts Payable (AP) Memos attach to a creditor (the APCRED record). The Account Code looks up the Creditor Code.
Inventory Control (IC) Memos attach to a product (the ICPROD record). The Account Code looks up the Product Code.
Company (CO) Global memos are company-wide and not tied to a single record (the account is fixed to GLOBAL). The Account Code field is read-only for these memos.

Permissions

Access to memos is controlled by each module's Memos permission (for example "AR\Perm\Memos"; the Company memo permission is "CO\Perm\Memos").

View the list On the Accounts Receivable, Inventory Control, and Company menu entries, list visibility is gated by the module's Memos permission at Allow or higher. The Accounts Payable list entry is not currently permission-gated, so the Allow-or-higher view requirement is not enforced there at the menu level (the in-screen Add/Edit/Duplicate and Delete actions still gate on the AP Memos permission).
Add / Edit / Duplicate Requires the module's Memos permission at Write or higher. Without it, the Add button and the Edit/Duplicate/Convert actions are disabled.
Delete Requires the module's Memos permission at Control. Without it, the Delete actions are disabled.
Note: Memos are reached from each module's Memos menu item. The per-module pages — AR, AP, IC, and Company — all use this shared editor; only the linked record type changes.
