IN Post Invoices

Post invoices and credits to AR and IC. Invoices can also be posted individually from Enter Invoices. Posting applies the invoice details to inventory, debtors and Sales Analysis, so that customer account balances are adjusted in AR, transactions are added, Sales Analysis and GST analysis adjusted, and in IC sales figures are adjusted and transactions posted.

Customer - From / To

Specify a range of Customers. Useful if you need to post invoices for specific Customers.

Date - From / To

Specify a range of date to post invoices between.

Number - From / To

Specify a range of invoice numbers to post invoices between.

Type

Select the type of documents to be posted.

Print Status

Select the print status of the documents to be posted.

Up to Period

Select the final period to post documents to.

Branch

Applies posting to Invoices for a single Branch. (Accredo Saturn Only)

 

Allow Credit Limit exceeded

Selected, Invoices exceeding the Customer Credit Limit will be posted. Requires Control permission for AR\Customers\CreditLimits.

Clear, (default) Invoices exceeding the Customer Credit Limit will error.

Buttons

Filter / Sort List (Ctrl+F2)

Clear Filter / Sort (Ctrl+F3)

Apply or clear a Filter & Sort. The button changes to indicate if a filter and sort is applied.

Run (F9)

Invoices matching the entered criteria will be posted and their status changed to Posted. Batch posting invoices posts by Invoice number, those without a number, then by Customer code. An invoice that has not been allocated an Invoice number will be allocated the next available computer generated number during posting. Shows IN Post Invoices Results.

Effect of Posting Invoices and Credits

Posting an invoice debits the period balance of the Customer account (or the Bill To account) with the gross amount of the invoice, updates the Sales Area, Sales Person and Sales Group analysis with the net amounts of the invoice and issues from stock product items on the invoice. Posting a credit does the reverse.

When posting credits individually you may be prompted to allocate the credit against invoices depending on the customers Auto allocate setting.

Stock is allocated immediately an invoice is entered to keep inventory current, but sales, and therefore the closing stock figures (that is, in stock), are not updated until the invoice is posted.
