GL Account Tree

Navigator > Maintain > General Ledger > Account Tree

You can view the GL as a report layout or in a tree structure.

In both views, you can expand or collapse heading accounts.

Report Layout tab

View figures from GL Accounts in report form, including figures for the period selected, year to date, last period, last year and budgeted amounts.

Click an account to open GL Account to edit the account or view more details.

Right-click an account or heading to display a context menu containing related accounts and formatting options.

Period

Select the period to report on.

Branch

Department

Select the Branch and / or Department to report on from Lookups. (Accredo Saturn Only)

 

Budget

Select the Budget to report on.

Validate Ledger (Alt+V)

Validate the ledger.

Grid toolbar

ToolbarExpand

Expand Toolbar (Ctrl+F9)

Expand the toolbar to give access to all toolbar options. Press Esc to close the expanded toolbar.

Open (F12)

Opens GL Account, you can edit the account or view more details.

Print (Ctrl+P)

Print the GL Account Tree Report, or save as a PDF file, or send as an attachment.

Customise (Alt+F5)

Opens Customise Fields, you can customise the fields visible in the grid.

Refresh (F5)

Reload changes other Users may have made.

Fully expand tree

Expands the data to show all standard accounts under each heading account, along with totals.

Fully collapse tree

Collapses the data to show only heading accounts and totals.

Grid Fields

Account

GL Account Number and Name.

Period

The balance for the selected period.

YTD

The balance for the year to date.

Last Period

The balance for the same period in the previous year.

Last YTD

The balance for the previous year to date.

Budget

The budget for the account for the selected period.

YTD Budget

The budget for the year to date.

Budget Variance

The variance between the Balance and the Budget, for the selected period.

YTD Variance

The variance between the YTD Balance and the YTD Budget.

Year Budget

The budget for the account for the year.

Context Menu (Right Click on a Header or Total line)

Heading Style

Available when selecting the context menu for a heading. Choose the style to display the heading. Options are:

  • Heading 1 - Arial 20 pt bold.
  • Heading 2 - Arial 16 pt bold.
  • Heading 3 - Arial 12 pt bold.
  • Heading 0 - Arial (same size as standard accounts) bold.

Total Style

Available when selecting the context menu for a total. Choose the style to display the total. Options are:

  • Total 0 - No lines above or below the totals (as for Standard accounts). Only the total will be shown on reports.
  • Total 1 - One line above the totals. Accounts which add to the total will be shown above the total on reports.
  • Total 2 - One line above and one line below the totals. Accounts which add to the total will be shown above the total on reports.
  • Total 3 - One line above and two lines below the totals. Accounts which add to the total will be shown above the total on reports.
  • Total 4 - Two lines above and two lines below the totals. Accounts that add to the total will be shown above the total on reports.
  • Total @ - Total is formatted and behaves like a standard account which adds to its total account. Used for balances carried down the ledger. Only the total will be shown on reports.
  • Non Printing - Total is calculated but not reported. Used where an implicit sub-total is needed to achieve the desired reporting sequence.

New Page

Starts a new page for Heading and Total accounts.

Line Space Before

Choose the number of blank lines before Heading and Total accounts (maximum two lines).

Line Space After

Choose the number of blank lines after Heading and Total accounts (maximum two lines).

Percentage Account

For GL financial reports that include percentages, the balance will be shown as a percentage of the balance of the percentage account, for example, to show sales accounts as a percentage of total sales.

Alternate Account

The account for the balance to be transferred to when the account balance goes negative, that is, when a Debit account has a credit balance or vice versa. The alternate account must be a non-standard account and of opposite sign, that is, debit for Credit accounts and vice versa. A typical use for alternate accounts is for bank account and bank overdraft.

Alternate accounts must be specified in pairs. When an alternate Account code is set for an account, the selected account is set as the alternate Account code for the other account.

For total accounts, the Non-posting alternate account must be the higher numbered account of the pair. Alternate accounts are not available for Heading accounts.

For Total Account

Select or Enter the Total account that a Heading account relates to. Used to suppress a heading when there are no balances for the total.

View the GL Account structure in tree view.
